Each year, a school must establish a "calendar" that will consist of the school’s instruction days. Each calendar will then be assigned to a "track", which you will then assign to each student. Tracks are used for attendance/absence reporting, ADM calculations and SAIS submission. Each year’s calendar(s) will remain historically within ¡Estudiante! for future reference i.e. do not delete a calendar.

There are two "basic" steps to generating your school calendar.

  1. Defining the calendar by giving it a name and some information, including Track No, SAIS Track No and Fiscal Year.  See Define Calendar for details.
  2. Adding the dates of school days i.e. the day that school will be in session.  Within Estudiante there are two parts to this.
    1. Starting in FY 2006 Estudiante has an application (Auto School Days) that take most of the labor out of entering the dates of school days.  The user simply enters a date 1 and date 2, plus selects the days of the week that instruction will be given.  Push a button and user will be given a list of dates.  These dates can be edited by deleting the holidays.  Then save the list to your calendar and you have your calendar.  One more thing, go to the Edit School Days form and Re-Order and you are finished.  Note: Re-Order assigns a sequence number for each date which is used to identify the school date.  It is important to get this sequence number fixed (and not changed) before entering absence or attendance.
    2. Edit School Days is an application for editing the schools days.  User can also print out a list of school days.

Double click on Define Calendar and School Days

 

Switchboard to Select Calendar options

  1. Calendar Definition: Define Calendar name, FY, Track No, etc.  Always start new calendar here.
  2. Auto School Days:- After step #1 generate day-date between Date1 and Date2.  This is the easy way to fill in your calendar.
  3. Edit Schools Days:  Use this option to edit the dates (school days) after you have run the Auto process.

Define Calendar:
  1. Enter a short description for the calendar. As most schools use only one calendar for all grades, you may choose something like "base calendar". If your school uses calendars based on various grades, you may wish to name your calendar accordingly.
  2. Choose fiscal year for calendar.
  3. Record the Track Number used in SAIS Calendar- see Common Logon. This is used to correlate SAIS Track Number with the Calender use in Estudiante. SAIS Trk numbers will be between 1 and 4 while Estudiante CalendarID's are unique numbers and will grow from year to year.
  4. Enter a more detailed description that fully describes this calendar (optional).
  5. Click 'Build Calendar' to go to the school days menu screen.  There you will fill in the actual school dates.

Auto School Days:

To populate a calendar that has already been defined (Define Calendar), you must enter each instructional day that your school offers during the school year. This is important as it will work directly with student membership and ADE reports.

The purpose of this screen is to avoid entering school days one at a time.  You do it once for each calendar that you create.

I-This form will generate all dates within a range .The parameters are:

  1. Range date 1 to date 2
  2. Select days of week for classes e.g. Tue, Wed, Thur for a 3 day school week
  3. The dates will appear in the list box on the right.
  4. Select the previously defined calendar to associate these dates with.
  5. Note:  You may generate multiple date ranges.  For example you might create dates from first day of school until last day before Christmas Holiday.  Then use a second date range starting the first day after Christmas break until the end of the school year. This would avoid the need to delete the dates that fall on the Christmas break.

II- Edit the list of dates

  1. Delete Holidays
  2. Select date from list to be used as school days for this calendar.

III - Save Dates to Calendar will transfer the selected dates to the selected calendar as School Days

Edit School Days

Use this form to edit the list of school days after it has already been created using Auto-School Days.  Double click on the image to the left to see enlarged form with annotations point out the different options.

 Because the school day form will  assign (click on Re-Order) the day order to each date, you can confirm that you have entered data correctly by matching the calendar’s assigned 40th day with what you know to be your 40th day.

  1. To change a date edit the date and click on "Set Date"
  2. To add a date go to bottom and insert date in new record.
  3. To delete a date select (click along left edge) and hit delete on your keyboard.
  4. Be sure to Re-Order after any change to dates.
